About the Opportunity A leading residential construction and development company is seeking an experienced Site Administrator to join its growing project team in Waterford.

The successful candidate will support the day-to-day administration of a busy construction site, ensuring documentation, communication, reporting, and office functions are managed efficiently to support project delivery.
Job Purpose To provide administrative and logistical support for construction site operations. This role ensures all site documentation, communication, and reporting requirements are effectively managed and that all office functions on site run smoothly.
The Site Administrator will work closely with project teams, subcontractors, suppliers, and external stakeholders to assist in the successful and timely delivery of construction projects.
Key Responsibilities
Administrative Support - Organise and maintain project documentation, including contracts, permits, inspection records, and compliance reports.
- Prepare and distribute daily, weekly, and monthly reports relating to site activities, attendance records, and project progress.
- Update project schedules and track milestones for reporting purposes.
Documentation and Compliance - Ensure all documentation is filed and maintained in accordance with company and regulatory requirements.
- Maintain records relating to safety inspections, training, audits, and incident reports.
- Process timesheets and attendance records and support payroll administration where required.
Coordination and Communication - Act as a central point of contact between site management, subcontractors, suppliers, and project stakeholders.
- Coordinate meetings, site inspections, inductions, and safety briefings, recording and distributing meeting minutes where necessary.
- Assist with site logistics including deliveries, access control, visitor management, and contractor onboarding.
Procurement and Inventory Support - Assist with the ordering of site supplies, materials, and equipment.
- Monitor inventory levels and support procurement activities to ensure project requirements are met.
- Verify supplier invoices and submit documentation for approval and payment processing.
Health, Safety and Environmental Support - Maintain up-to-date health and safety documentation and records.
- Support compliance with health, safety, and environmental policies and procedures.
- Assist with emergency preparedness activities and maintain emergency contact information.
Data Entry and Reporting - Accurately enter and maintain data within company systems and project management platforms.
- Generate reports relating to project progress, resources, budgets, and site performance.
- Assist with tracking project costs and maintaining accurate financial records.
Requirements Experience - Minimum 2 years' experience in an administrative role within the construction industry.
- Strong understanding of construction documentation, terminology, and compliance requirements.
Technical Skills - Proficient in Microsoft Office Suite, particularly Word, Excel, Outlook, and PowerPoint.
- Experience using construction management or document control systems is advantageous (e.g., Zutec).
