An established and growing construction business is seeking an experienced and detail-oriented Accounts Administrator to join its Finance team in Galway.
This is an important role within the finance and procurement function, responsible for ensuring that goods and materials received on construction projects are accurately recorded and matched against purchase orders and supplier invoices.
The successful candidate will work closely with suppliers, site teams, procurement, commercial and finance personnel to ensure accurate financial records, resolve discrepancies and support the smooth processing of invoices and payments.
Key Responsibilities - Accurately record goods and materials received on construction sites using the company's ERP system.
- Match goods received against approved purchase orders and delivery documentation.
- Verify quantities, descriptions, specifications and product codes.
- Ensure goods received notes and supporting documentation are accurately completed and recorded.
- Match purchase orders, goods received notes and supplier invoices as part of the three-way matching process.
- Identify and investigate discrepancies including quantity variances, incorrect or missing materials, duplicate deliveries and damaged goods.
- Maintain accurate records of outstanding discrepancies and follow these through to resolution.
- Liaise with suppliers to resolve invoice and delivery queries.
- Request and track supplier credits where required.
- Work closely with site management, buyers, engineers, quantity surveyors, procurement and finance teams.
- Liaise with colleagues who have raised purchase orders where amendments or additional approvals are required.
- Ensure appropriate supporting documentation and authorisations are obtained.
- Assist with accounts payable and general finance administration as required.
- Maintain accurate and up-to-date financial and purchasing records.
- Support the wider finance team in meeting deadlines and maintaining strong financial controls.
Skills & Experience - Previous experience in accounts administration, accounts payable, procurement or materials administration.
- Experience within the construction industry would be an advantage.
- Good understanding of purchase orders, goods received processes and supplier invoicing.
- Strong attention to detail with excellent numerical and analytical skills.
- Experience investigating and resolving discrepancies.
- Strong communication and interpersonal skills.
- Ability to liaise confidently with suppliers and internal stakeholders.
- Excellent organisational skills and the ability to manage multiple priorities.
- Ability to work independently and as part of a wider finance and commercial team.
- Experience using an ERP or accounting system; knowledge of COINS or a similar system would be advantageous.
- Proficiency in Microsoft Office, particularly Excel.
