We are currently recruiting a Site Administrator to work with our residential construction client on a site based in Innishannon, Cork.

This is a 12 - 18 month contract role.

Reporting to the Project Manager, the Site Administrator will provide a variety of administrative support duties for the project manager and project team.
As an administration member of the team, the Site Administrator will be an exemplar ambassador for the company and its values; integrity, dependability, safety, pride, quality.

Roles and responsibilities:
  • Responsible for co-ordinating all project documentation; records must be maintained, kept up-to-date and archived correctly
  • Collating times sheets and forwarding to payroll to process, following up on payroll queries
  • Preparation of reports and memorandums
  • Liaise with sub-contractors to ensure timely and accurate submission of ancillary certs for BCAR submissions.
  • Filing of ancillary & commissioning certs onto the Document Management System to ensure homebond sign off.
  • Greeting visitors and registering them on arrival
  • Update REQ register- every time a new req is raised.
  • Update the Outgoing Instruction register and drawing register and Tech Sub register- whenever a tech sub is uploaded or when Client has commented on one.
  • Update RFI register- when uploaded on conject or Client has answered a previous RFI
  • Booking flights and accommodation
  • Examine documents, such as blueprints, drawings, change orders, and specifications to verify completeness and accuracy of data.
  • Ensure that all corporate documents are well checked and submitted on time prior to the documents submission due date.
  • Manage mail and packages, ensure prompt distribution across the departments
  • Be familiar with purchasing systems for raising Purchase Orders, registering invoices and goods receipting
  • Documenting meeting minutes and follow up actions.
  • Administrative support to site team, as necessary.
  • Complete subcontractor site inductions and face recognition in the absence of Health and Safety.
  • Liaise with Utilities Coordinator to ensure timely and accurate handover of unit to purchaser.
  • Ordering office inventory.
  • Assist in composition and management of documentation related to Quality, Completion Packs, HSE
  • Secretarial services as required, taking meeting minutes, filing, photocopying
  • Input stock movements and spares control for items held on the asset registers
Requirements:
  • At least 1 years experience as a Site Admin on a construction site.
  • Safepass (advantage)
  • Drivers License
  • Pro-efficient in all Microsoft Office applications (Word, Excel, PowerPoint).
  • Strong IT skills.
  • A strong ability to multi-task in a fast paced environment
