OCS Recruitment is currently partnering with a specialist construction contractor to recruit a Site Administrator / Document Controller to be based from their Tallaght office. This is a site-based role providing essential administrative and document control support to the project and site management team. The successful candidate will also assist with fleet, plant and tool administration, helping to ensure site operations run efficiently and in compliance with company procedures.
Key Responsibilities Document Control & Project Administration
Manage and control all project documentation including drawings, specifications, RFIs, method statements and certifications
Maintain document registers, revision control and structured filing systems
Issue, receive and track drawings and documents in line with project requirements
Prepare reports, meeting minutes and general site correspondence
Support the Project Manager and site team with day-to-day administrative tasks
Site Administration, Fleet, Plant & Tools
Maintain records for site fleet, plant and tools, including allocations, inspections and servicing schedules
Track plant and tool movements to and from site
Coordinate plant hire documentation, delivery and off-hire records
Maintain up-to-date logs for vehicles, plant and equipment compliance (e.g. inspections, certifications, service records)
Assist with ordering, issuing and recording tools and site equipment
Liaise with suppliers, hire companies and head office regarding fleet and plant requirements
General Site Support
Assist with site inductions, attendance records and training documentation
Maintain health & safety documentation and compliance records
Act as a key point of contact for site correspondence with subcontractors and suppliers
Requirements
Previous experience in a Site Administrator or Document Controller role within construction, roofing, cladding or a related sector
Experience with fleet, plant or tool administration is highly advantageous
Strong organisational skills with excellent attention to detail
Proficient in Microsoft Office (Word, Excel, Outlook)
Experience using document management systems (e.g. Procore, Aconex, Viewpoint or similar) advantageous
Ability to manage multiple priorities in a fast-paced site environment
Strong communication and interpersonal skills
Self-motivated and capable of working independently and as part of a team
