Document Controller to join their Cork office and support their operational and project documentation processes.
Role Overview As a
Document Controller, you will play a critical role in maintaining, organising, and controlling the documentation lifecycle across all projects and internal functions. You will ensure that all documentation is accurate, properly versioned, accessible, and compliant with relevant standards. Your work will help guarantee that project teams, stakeholders, and auditors have access to the correct and up-to-date information.
Key Responsibilities
- Establish, maintain, and control the document management system (DMS) – ensuring structured storage, retrieval, versioning, and archiving.
- Review, classify, and index incoming documents (drawings, reports, technical specs, contracts, etc.).
- Ensure proper naming conventions, version control, and document change histories.
- Distribute documentation to internal teams, external consultants, subcontractors, and clients as required.
- Coordinate document reviews, revisions, and approval workflows.
- Monitor and maintain document security, confidentiality, and access permissions.
- Support audits and quality control checks — ensure compliance with internal and external standards (ISO, regulatory, contractual).
- Assist in preparing document packages for handover, closeout, or archival.
- Liaise with project managers, engineers, quality assurance, and other stakeholders to ensure correct documentation flows.
- Provide training and guidance to staff on document control procedures, standards, and best practices.
- Perform periodic housekeeping, purging obsolete documents, and system integrity checks.
Required Skills & Experience - Previous experience as a Document Controller (ideally in construction or engineering).
- Strong understanding of document control best practices, versioning, naming conventions, and revision control.
- Familiarity with document management systems (e.g. Aconex, Procore, SharePoint, or equivalent).
- Excellent organisational skills, attention to detail, and methodical approach.
- Ability to multitask, prioritise, and manage tight deadlines across multiple projects.
- Strong communication skills (written and verbal) — comfortable interacting with various stakeholders.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.).
- Discretion and respect for confidentiality.
- A proactive, problem-solving attitude and willingness to suggest improvements in document workflows.
