We are hiring a Document Controller to be based in Dublin 15 with a leading developer.

About the role:
Role: Document Controller
Reporting to: Information Manager
Department: Construction
Location of work: Head Office
Hours of work: 40 hours per week, 8am – 5pm, Mon to Fri
Contract: Permanent

Job Summary:
The Document Controller will be responsible for overseeing all document management processes within the organization. This role is critical to ensuring that all project documents are maintained, distributed, and archived in accordance with company procedures and regulatory requirements. The ideal candidate will have a strong background in document control, excellent organizational skills, and a keen eye for detail.

Duties & Responsibilities:
  • Maintain and manage all incoming and outgoing project documentation.
  • Ensure documentation records for the projects follow company requirements.
  • Ensure the flow and distribution of documentation across the project follows company requirements.
  • Acting as a company administrator to information portals.
  • Carry out training for internal staff and external personnel onto the information portal.
  • Assisting with preparation of tender packages – issued on portal to various bidders.
  • General document administration – filing systems, printouts etc.
  • Act as the main point of contact for all document control-related queries.
  • Any other ad hoc duties required to be carried out by senior staff / senior design manager in relation to document control issues, assisting with the online
  • portal and general document admin.
Skills, Experience & Qualifications:
  • Demonstrates knowledge of the function and makeup of document management systems.
  • Experience using Asite, Microsoft SharePoint are a plus.
  • Understanding of document control processes, procedures, and best practices.
  • Excellent attention to detail and accuracy in managing documentation.
  • Literacy in computer operating systems and applications such as MS Office Suite Products (e.g., Windows, Word, Excel).
  • Good presentation skills, excellent communication and interpersonal skills are essential.
  • An ability to work independently and as a member of a team in a dynamic, fast-paced environment.
  • Excellent administrative skills and attention to detail are essential.
  • Be organised and have good time management skills.
  • Be able to work on own initiative.
