Job Title: Bid Administrator
Location: North Cork

Overview
We are seeking a motivated and detail-oriented Bid Administrator to join our Tendering team. This role supports the preparation and delivery of high-quality bid and tender submissions that contribute to business growth.
 
Key Responsibilities
  • Assist in the preparation and submission of tender and eTender prequalification documents and quotes
  • Coordinate and gather information to complete bid responses
  • Ensure all bid documentation is accurate, compliant, and submitted on time
  • Format and proofread proposal content to maintain high standards of quality and presentation
  • Maintain and organise the tender document library and bid templates
  • Track bid deadlines and ensure all stakeholders are aware of submission timelines
  • Support the preparation of bid presentations and supporting materials
  • Assist with contract reviews and administrative compliance checks
  • Build and maintain strong working relationships across internal teams
  • Perform additional administrative or coordination duties as required to meet business needs
Skills & Experience Required
  • Previous experience in bid administration, bid coordination, or a similar administrative role, including eTenders
  • Excellent written and verbal communication skills
  • Strong organisational and time management abilities
  • High attention to detail with strong document formatting skills
  • Leadership skills to plan, manage, and direct multi-disciplinary teams
  • Proficiency in MS Project, Word, Excel, and PowerPoint
  • High level of commercial understanding and application
  • Proven ability to work collaboratively with clients, contractors, and design teams
  • Positive, proactive approach with the ability to adapt to changing scenarios
  • Strong interpersonal skills and the ability to work effectively in a team environment
  • Self-motivated with the ability to work independently and manage priorities
Desirable Experience
  • Experience working in a live office environment
  • Familiarity with architectural roles and services
  • Understanding of public sector procurement portals such as eTenders
  • Knowledge of bid processes and proposal writing best practices
Qualifications
  • Relevant third-level qualification preferred
  • Training or certification in bid/proposal writing (e.g., APMP) is an advantage
